The Gist Our client, a boutique investment firm, seeks an expert Executive Assistant to support the Founder & tight‑knit team in Palo Alto. The role provides top‑tier administrative support to the Founder and backup support to other team members, while also acting as the go‑to person for their small office. The ideal candidate has supported executives in finance and brings dependability, proactive nature, and impressive experience to the role. The Nitty‑Gritty Expertly manage executive's calendar, addressing any conflicting appointments and sending reminders Develop keen sense on how to best optimize executive's time & determine priorities Plan & execute company events, offsites, and meetings Arrange travel and prepare itineraries Oversee light office operations for a small office and act as a culture carrier Handle incoming & outgoing communications with the utmost confidentiality and urgency Create presentations & decks, prepare deliverables, and distribute meeting materials Provide backup support to other executives as needed Process and track expenses Assist with other administrative functions and ad hoc projects, as needed The Essentials 5+ years of executive support experience, ideally in finance Ability to act as an excellent extension & representation of the firm in all interactions Dependable & reliable nature Excellent interpersonal skills and knack for building relationships Superb attention to detail and discretion Fast-processing, solution-oriented approach to work Clear and professional communication style, both verbal & written Ability to shift, adapt, and pivot when confronted with new challenges and opportunities The Cherry on Top Join a tight‑knit team that is looking to expand!
